Scope and Contents
As noted above, the members met monthly. Records produced include the periodic newsletter, filed first in each month’s materials (if present). The newsletter is followed with announcements (birthdays, deaths, new members, etc.), information on events of interest either on post or in Columbus, and associated photographs. Announcements could be for events both on post or in surrounding communities. Also included are newspaper clippings, thank-you notes and other correspondence and photos. Each month the Club submitted a report to the Directorate of Morale, Welfare or Recreation, which included a cover letter, the Club’s meeting minutes, as well as bank statements and summary financial statements. The minutes immediately follow the cover letter. Detailed financial information (bank statements, cancelled checks, store receipts, etc.), was discarded. The summary financial statement is the last item of each month’s records. There was a hiatus in meetings during the COVID epidemic between 2000 and 2004. In addition to material sent to the Morale Officer, the monthly meeting folders might include correspondence relating to the club’s events, especially its annual events, such as Oktoberfest, the Christmas party, Fasching (Mardi Gras), and the club’s annual Anniversary party, among others. Other occasional events included bake-sales, and coffees. There also might be sign-in sheets, information about its participation in non-club events (such as international festivals, fashion shows, etc.), award certificates, charities such as Santa’s Castle, and similar materials. It is important to remember that announcements were usually filed in the month they were sent out, not necessarily the month of occurrence. For example, the announcement of the annual Oktoberfest would be filed in the September records although the records of the Oktoberfest would be filed in October, the month of its occurrence. Materials relating to each event are filed in the month they occurred. The first president was Donna Dowdle who served from July 1975 until June of 1976, when Olga Davis was elected to the office.
