Processing Information
Initially the members’ weekly meeting was called the Business Luncheon. The Board of Directors (BoD) met immediately following. Formal minutes were kept for both. Later the Board began to meet separately and to assume more of the functions of the club. The weekly lunch-time meeting became more of a social and networking opportunity with speakers and entertainment. The luncheon meeting however remained the venue where members voted on such things of changes to the club constitution and by-laws, the election of officers, and resolutions. In time the meeting name was changed to the Weekly Luncheon Meeting. The notice of the meetings were variously called the programs, the bulletins and the newsletters. As with the minutes of the Board of Directors, supporting documentation was sometimes filed with the minutes and sometimes filed in Series 5-Correspondence. For the sake of consistence, all such material is filed with the correspondence except for resolutions and committee reports. These are filed with the Board of Directors’ materials.
