Series 4 - Westville
Scope and Contents
The original name of the organization is Westville Historic Handicrafts, Incorporated. It operated on a fiscal year basis, running from July 1 of each year to June 30th of the following year. Dr. Jordan and his wife, Linda were enthusiastically involved with Westville for decades, serving in various administrative positions, as performers and re-enactors, and generous financial supporters. The arrangement of the Westville materials puts its organizational records first (Incorporation, Constitution, By-Laws, structure, etc.). This is followed by the Board of Trustees records (meeting agendas and minutes) and then the Executive reports. Committee materials follow, in alphabetical order by name of committee. The committee structure was modified over time. There is thus some overlap of functions, such as Fund Raising for Special Events Committee, Finance Committee, Capital Campaign Steering Committee, and Development Administrative Services Committee. Materials were generally left where found, with the exception of financial records, which have been pulled together under the rubric of “Financial Committee”, with sub-divisions for Capital campaigns, fundraising events, and Investments. There is significant overlap with MC 348 which is comprised of the corporate records of Westville.
The Westville series opens with Dr. Jordan’s general correspondence, mostly with Matthew “Mac” Moye. There is also correspondence with donors and potential donors. There is considerable overlap with various committee files.
Dr. Jordan’s Westville series ends with a group of subject files, such as medical practices of the 1850s, books read during this period, period games, music, clothing, social conditions, etc.

Biographical / Historical
Committees and mission statements include: Board of Trustees Executive Director This includes the Director’s periodic and annual reports. Executive Committee of the Board The Executive Committee must have at least three but no more than nine members. The committee shall have and may exercise the powers of the board of Trustees in the management of the affairs and property of the corporation and the exercise of its corporate power. Capital Campaign Steering Committee Keep track of progress of Westville capital campaign and develop strategy for continuation of effort for reaching the ultimate goal of $8.5 million. Development Administrative Services Committee Volunteer to assist in mailing, event preparations and other administrative and misc. needs in development area. Education Relations Committee Responsible for contact with schools, teachers, and principals. Provide teachers with curriculum and kits. Attend teacher and principal meetings. Promote class trips and visitation to Westville. Finance Committee Responsible for the overall financial condition and budget status. Determine annual financial needs. Monitor fund raising vs. goals. Direct annual fund drive. Monitor quarterly and annual reports. Fund Raising Special Events Committee Responsible for developing and producing special events to assist Westville fund raising. Furnishings Committee To Maintain Westville acquisition policy and solicit acquisitions consistent with that policy and to keep accurate inventory of all furnishings. Government Sector Relations Committee Develop programs for contact with city, county, state government and federal government leaders, as well as agencies to request allocations and grants to Westville. Grants and Foundations Committee Responsible for identifying grant sources and preparing and submitting follow-up grant requests. Landscaping Committee To maintain landscape and gardens of Westville in good condition and to add new growth as needed and as the budget permits. Long Range Planning Committee Develop Westville’s five-year long-range plan. Make an annual review vs. goals. Merchandise Sales Committee Includes responsibility for sale of products, food, etc. within the village and store, as well as revenue through other sales. Marketing and Public Relations Committee To develop methods to increase visitations as well as monitor attendance to Westville Village. Membership Committee Responsible for recruiting new members and maintaining accurate membership records. Nominating Committee Will be composed of all committee chairs, who must be member of the Board of Trustees. Slave House Committee Will oversee placement of slave house in the village and recommend structure placement and furnishings to appropriate committees. Other slave house placements will be explored in the future. Towns Project Develop a network of Westville membership support groups in towns with a 150-mile perimeter of Westville village.
